Sending files for loading to the NHU-PAC

We have updated the information sheet on how to send files of records to NHAIS Services for loading into the NHU-PAC.

Going forward, libraries will need to send their files electronically, as email attachments. The new sheet reflects that change. Most NHAIS libraries have been doing this for years. Over the past several weeks David Harris spoke to each of the libraries that had been sending us physical media and worked with them to make the transititon to electronic file contributions.

If you search for records in NHU-PAC and add your holdings there (in batches or one at a time) then this change won't affect you at all.

Van Delivery News, November 2011

The New Hampshire State Library will be closed on the following days in the month of November:

Friday, November 11, 2011, Veterans' Day
Thursday, November 24, 2011, Thanksgiving Day
Friday, November 25, 2011, Day after Thanksgiving

There will be NO VAN DELIVERY on those dates.

For a complete list of all of the holidays the State Library is closed, please visit http://www.nh.gov/nhsl/services/librarians/van_delivery/instructions.html (the van delivery instructions) and scroll down to "NO Van Service".

If for any other reason (e.g. bad weather) van service on a particular route(s) does not operate, libraries will be notified via an e-mail message and this blog. If your library does not receive van service on a particular day, please check your e-mail and this blog before calling the State Library.

Please remember to properly label each item which you are sending via the Van Delivery Service. This will help ensure these items make it to the correct destination in a timely manner.

Due to the ever increasing load of materials transported by the New Hampshire State Library van delivery system, our vans can reach maximum capacity before the end of a van route, especially following long weekends and holidays. Our drivers can decline to accept materials if they feel they cannot fit them safely on their van. We are also asking libraries to please be aware of volume during times when there is likely to be a problem. You should prioritize your materials to be picked up, in case some items must be left until the next van pick up. That will allow us to immediately transport the most important items as quickly as possible.

Van Delivery Bins

Often times, a van driver will need to drop off an "overflow" bin at a library while delivering materials on the van delivery route. If you receive an "overflow" bin on your delivery day, please make sure that you return it the next time the van stops at your library.   These bins belong to the State Library and often are in short supply due to the volume of materials being transported. Your cooperation in the speedy return of these bins would be appreciated by all of the van drivers.

2011 National Survey of Public Library Funding and Technology Access

Janet Eklund, Administrator of Library Operations, NHSL, recently sent out this reminder to NH libraries. Don't let NH get left out again!

In its seventh week, the 2011 National Survey of Public Library Funding and Technology Access continues to receive survey responses. Currently, New Hampshire has a 32% response rate! Thanks to all the librarians who took the time to complete the lengthy survey. Many librarians have started the survey but not yet completed it.

NHU-PAC will be down week of November 7th

We will be installing a new NHU-PAC server in the next couple of weeks--this is the main server where all the NHU-PAC data resides--which will require the system to be shut down almost entirely for 3 days the week of November 7th.

Every time I have been ready to write this post and let NHAIS libraries know what to expect there has been a change to the plan (NHSL, SirsiDynix, and NH Department of Information Technology staff are all involved, so there are a lot of moving parts to coordinate). What has to happen, and how long it will take is fairly solid, when it will happen has been a constantly moving target. Consequently, I would pencil the following into your calendars:
  • NHU-PAC, for all searching and cataloging, will be unavailable from 4:30pm on Monday, November 7, 2011 until the end of the day (4:30pm) on Thursday, November 10, 2011.
  • You will not be able to start new interlibrary loan transactions during this period of time, because searching will be unavailable in the ILL system as well as the rest of the NHU-PAC. According to SirsiDynix (but untested until we actually disconnect the old server) you will be able to access your existing ILL transactions in the system to fill, or return, or set to not available requests that are begun before 4:30 on Monday 11/7/2011. As NHU-PAC will be down your usual path to the ILL system won't be available, but there is a direct link to the NHAIS ILL system on the NHAIS Services ILL Resources web page.
  • Updates on progress will be posted, as usual, on the NHAIS Blog. If everything goes smoothly and we are able to bring the system back up before the end of the day on Thursday we will announce the revised plan on the blog and get things back online sooner.
  • Until we announce that everything is back DON'T go online and modify holdings or start ILL transactions. Once things are installed we will test them, and it is possible that you might see what looks like the NHU-PAC available for use but is actually a temporary test environment and any work you do there will be lost. We won't forget to let you know when everything is ready.

NHU-PAC maintenance done--except for brief ILL outage at 10am

Tuesday, Oct. 25, 7:55 a.m.: Part one of our monthly server maintenance is done and all NHU-PAC functions should be working normally--contact the NHAIS Help Desk at 271-2141 if you find otherwise. Part two, affecting only the ILL program, starts at 10 a.m. and should cause an ILL service outage of no more than 15 minutes.

Brief NHU-PAC outages 10/25 7:40am & 10am

NHU-PAC servers will be restarted tomorrow morning as part of our monthly maintenance schedule--and we're adding a new step to our last-Tuesday-of-the-month routine which will affect ILL users.

Beginning around 7:40 a.m. on Tuesday, October 25, all NHU-PAC services will be shut down. Most will be available again within 10 minutes; Holdings Maintenance will probably take about 15 minutes to be restored. All NHU-PAC functions should be back to normal by 8 a.m.

Beginning around 10 a.m. on Tuesday, October 25, the ILL program will be shut down for approximately 15 minutes. Other parts of the NHU-PAC will be unaffected.

A Housekeeping Announcement

The State Department of Information Technology has changed its policy regarding listserv archives. In the past the archives basically stayed there as long as the server was unchanged (NHAIS-L archives go back to 2006 for example). Going forward the archives will remain available (in the case of the NHAIS-L and NHAIS-ILL lists they are non-public so are only available to subscribers) for the current year + one year into the past.


I don't see this making a huge difference to anyone -- how often do you read the listserv archives from more than 24 months ago?-- but I wanted to let people know.

245n now searchable in NHU-PAC

We've made a modest change to title searches in the NHU-PAC which should keep you from getting lost while looking for Lost.

Previously, a search for Lost: the Complete Fifth Season would yield no hits even though the record for this DVD set has been in the NHU-PAC since 2009. You could look by the title Lost (more than 10,000 hits on its own!) in combination with, say, a performer's name but you'd still have several hits to look through.

The problem: MARC subfield 245n, where the season number for DVD sets of TV series and the part number for graphic novels is usually stored, wasn't included in our title search index. Now it is, making it much easier to target Naruto Vol. 48 or Friday Night Lights: the Fifth and Final Season. This change applies to all NHU-PAC title searches, including in the ILL program.

NHSL email is down

Since sometime last night (based on a report from someone who tried to email me then) the State Library (in addition to several other state agencies) has no email service. Currently (12:46pm, 10/5/2011) the Office of Information Technology is saying they don't know how long this email outage will last.

If you sent email to anyone here at the library that required immediate attention, you may want to give them a call. You can reach the NHAIS Help Desk at 271-2141. Other staff numbers are on the NHSL website.
Once the email is back up we will let you know if mail sent to NHAIS Services during the outage has come through (especially files of records for loading) or will need to be resent.
