NC van delayed Thurs 3/28

Hello folks,
I just found out the North Country van is being serviced this morning and the van route is delayed at least a few hours. If all goes well, the driver will complete the route, but at a later time. Or….some stops may end up cancelled.

Keyword searching back to normal

Thursday, March 28, 7:40 a.m.:  A new keyword index has been installed so NHU-PAC searches can now find all 2,136,987 (as of 6:46 a.m. today) bibliographic records in the database.  The index will be continuously updated to reflect new and changed records.

NHU-PAC searching restored

Wednesday, Mar. 27, 10:45 a.m.: NHU-PAC keyword searching has been restored after a 20-minute outage.  We're temporarily using a backup keyword index while a new index is being built.  You'll be able to find materials that were in the NHU-PAC as of the morning of March 8.  Anything added or changed since then may not be searchable with keyword indexes.  You should be able to find newer materials by using browse indexes (not an option in the ILL program).

It takes several hours to build a new keyword index for our bibliographic records (we have 2,136,841 bibs as of 6:46 a.m. today).  It's likely the new index won't be installed until Thursday morning around 7:35, at which time you should expect a 5-minute interruption of NHU-PAC searching.  After that, new or changed records will be reflected in the indexing in real time.

Wednesday March 27th 10:30 AM NHU-PAC searching has been temporaily disabled for unscheduled maintenance work. Service will be restored as soon as possible.

Brief NHU-PAC outage Tue 3/26 7:50am

This being the last Tuesday of the month, NHU-PAC servers will be restarted this morning.  The system will go offline at 7:50 a.m.  Most services should be up and running again by 8 but Holdings Maintenance may take a little longer.  Later this morning, there will be a brief (< 1 min.) interruption of the ILL program for maintenance purposes.  Expect this to happen around 10 a.m.

RDA and NHU-PAC

The upcoming OCLC RDA policy implementation (March 31, 2013) should not have any effect on NHU-PAC users. We reviewed the OCLC plan (because all NHU-PAC records come from the OCLC WorldCat) when it was announced back in January and determined that NHU-PAC is set. The parts of the OCLC policy that relate to NHU-PAC boil down to this:

  • OCLC WorldCat will continue to include both AACR2 and RDA records. So will NHU-PAC, as it has for several years now (see New RDA Field post).
  • MARC fields that are new to the RDA format will need to be added to display and search mappings in local systems (including NHU-PAC) if the library feels the information in those fields is important to their users. We made the needed changes to NHU-PAC search and display for the 264 tag. We determined that no other tags needed to be accommodated in NHU-PAC displays. If you wish to see the full record with all the tags use the 'marc display' toggle on the bottom of the left hand panel of a record display.
  • A new record MAY not be added to WorldCat if there is an existing record in the library's language of cataloging for the item in hand regardless of the cataloging standard (RDA or AACR2) of the record. This fact requires that NHU-PAC continue to include both formats of record.
  • New records being added to WorldCat may continue to be AACR2, or they may be RDA. The NHAIS Services Original Cataloging Program will continue to create records that comply with AACR2.  We will not be transitioning to RDA in the foreseeable future.
When the Library of Congress implements RDA, that change will probably result in more OCLC records being RDA instead of AACR2, but will otherwise have no impact on NHU-PAC users.

NHAIS Libraries that download records for their local systems from NHU-PAC will have (and have had since 2010)  both AACR2 records and RDA records in their local systems. They should check that the records both search and display the way they want them to. If they don't, you will need to work with your local system vendor to make any needed changes. If you get records from sources other than NHU-PAC, you will need to find out what those sources are doing regarding the RDA transition if you want to know what you are adding to your local catalog.

Basically three options are available to a library regarding RDA:
  1. Maintain a hybrid catalog with both AACR2 and RDA records in it.
    I think this is the best plan and it is what NHSL (both Technical Services and NHAIS) is doing.
  2. Keep only AACR2 records in your catalog -- this will drastically limit your ability to use cataloging records from sources beyond your own library as more record sources move to RDA without significant editing of each record.
  3. Transition your catalog entirely to RDA -- this will require you to re-catalog every item in your catalog to the new standard as well as revising any shared records for new materials that were cataloged by other libraries to the AACR2 standard.

WebDewey at a Discount

NHAIS Services has set up a group subscription to Web Dewey which makes it available to all NHAIS libraries at a discount over the price otherwise offered to libraries who are not cataloging members of OCLC. If you want to order WebDewey for the current year, you need to contact NHAIS Services (271-2141) BEFORE 4pm on April 12, 2013.

Web Dewey is an online version of the complete Dewey Decimal Classification system available by subscription from OCLC. Using a standard Web browser, Web Dewey subscribers have unlimited access to an enhanced version of the DDC 23 database, including Relative Index terms and built numbers not available in the print edition. OCLC has created an online tutorial which provides more details about how this product works. Complete WebDewey documentation is also available.

Here are some basics about the subscription:

  • The subscription runs from May 1st through April 30th.
  • Subscribing libraries each get a single authorization number and password. These are unique to your library, not to an individual, but only one person at a time may use your authorization.
  • NHAIS libraries can subscribe to Web Dewey through NHAIS Services for $220 per year (as of 2013 subscription year).
  • Web Dewey works independently of the OCLC cataloging software (Connexion) so you don't have to use OCLC cataloging to use Web Dewey.
  • Web Dewey subscriptions at the group price can ONLY be set up during the subscription renewal period each spring.
  • The renewal period for the 2013/2014 subscription is OPEN until 4pm April 12, 2013.

Holdings Maintenance access

From the NHAIS mailbox: "We are able to access Interlibrary Loan, but when I select Holdings Maintenance, I get the message that Inernet Explorer cannot display the web page."

This almost always involves the firewall at the user's end.  If you can get to the rest of the NHU-PAC but can't get to the Holdings Maintenance login page, let your IT people know that you need to have port 81 at 199.192.6.129 open.  The NHAIS Help Desk most frequently hears about this sort of firewall issue from school libraries.

Phantom titles on Set to Not Available list

While most screens in NHU-PAC's ILL program require you to enter a 7-digit number to change the status of a request, the Set to Not Available screen gives you the option of selecting titles from a list.  Every now and then you may notice a title that wasn't on your Incoming Requests screen.  Where did it come from?

This happens when borrowers request items which have no holdings in the NHU-PAC.  Borrowers should notice that there's nothing listed where the holding libraries would normally be displayed:

Depending on your computer's configuration, you may see the following helpful message (circled in red for visibility here) when landing on items without holdings:
In such cases, there's no point in placing the request in the system.  Try a message to the NHAIS-ILL e-mail list instead.  If you do click the request button, you'll see the following when selecting lenders:

In either case, you should click the Cancel Request button and try a message to the NHAIS-ILL list.  If you do select "NHAIS Services NHU-PAC" as a lender and submit the request, all users will see the title listed at the bottom of their Requested Title list on the Set to Not Available screen:
These requests are usually cleaned out each morning by NHAIS Services.  The NHU-PAC has thousands of bibliographic records with no holdings.  Sometimes they're newer titles which will soon have holdings added; sometimes they're older titles which have been deaccessioned by the original holding libraries but which another library just might acquire someday and come looking in the NHU-PAC for a matching record.

Spring Cleaning for ILL

Have you looked at all your outstanding NHAIS ILL transactions through Request Inquiry lately?
You may be surprised to find some very old requests there. Every Friday, ILL transactions that have been in a terminal status (Completed, Unfilled, Cancelled, Expired, or Temporary) for at least 7 days are purged from the system. Once an item has been Shipped by the lender, it needs to be Received and Returned by the borrower, then Completed by the lender. If the borrower or lender neglected one of these steps, the transaction remains active and continues to display in Request Inquiry.

If everybody who participates in NHAIS ILL did the following steps as part of a spring cleaning effort, we could purge a lot of old transactions from the system!.

  • This week check in Request Inquiry for status Shipped (click the drop-down arrow to select a status) and Requests made BY your library (the middle radio button above the OK button). If you find an old request (you can tell by the number on the left--anything under 1245000 is more than 3 months old) that you know you've already received, go to the Staff Menu, click Receive Loans, and enter the request number. Then check in Request Inquiry for status Received/Requests made BY your library. If you find an old one that you know has been sent back to the lender, go to the Staff Menu, click Return Loans, and enter the request number.
  • Next week check in Request Inquiry for status Returned/Requests made TO your library. For any materials you know you've received, go to the Staff Menu, click Complete Loans, and enter the request number. At any of these steps, you may come across some old transactions that you're not sure about. Do your best to determine the correct status of the request: check your notes, check your shelves, ask the borrowing or lending libraries to check their shelves.
