Example ILL Transactions with Quarantining

Since our announcement last week about resuming ILL service with Quarantine of ILL Materials in place we have had several questions about how this timeline will look in practice. We developed some sample transactions (based on policies from actual NH libraries) that may help you understand what is expected of your library if you are going to participate in NHAIS ILL.

About the Libraries

Lilac Public Library

  • Open Monday – Friday
  • Gets a van delivery each Tuesday (SW Route)
  • Loans materials to patrons for 3 weeks
  • Allows 5 days for patrons to pick up materials being held for them

Newt School Library

  • Open Monday – Friday 
  • Gets a van delivery each Monday (LR Route)
  •  Loans materials to patrons for 3 weeks
  • Closes on Election Day
  •  Allows 7 days for patrons to pick up materials being held for them

Birch Public Library

  •  Open Monday – Thursday (reduced hours due to COVID-19)
  • Gets a van delivery each Tuesday and Thursday (SE Route)
  •  Loans materials to patrons for 3 weeks and AV materials for 2 weeks
  • Allows 5 days for patrons to pick up materials being held for them

Chinook Public Library

  •  Open Monday, Thursday, and Friday
  •  Gets a van delivery each Thursday (NC Route)
  •  North Country materials get to NHSL on M/W/F for distribution in the rest of the state
  •  Loans materials to patrons for 2 weeks
  • Allows 8 days for patrons to pick up materials being held for them

Example Transaction #1

  • 9/21 - Lilac got a request from Newt first thing Monday morning and marked it “shipped” at 2pm that day
  • The item went into quarantine for 72 hours so could be sent on the van after 2pm on Thursday, 9/24
  • NHSL van picked up the item at Lilac on Tuesday, 9/29
  • NHSL van delivered the item to Newt at 10am on Monday, 10/5 and it was marked “received” in the NHAIS ILL System
  • The item went into quarantine for 72 hours so could be given to the patron after 10am on Thursday, 10/8
  •  Patron was notified that their item was available on 10/8 and checked it out on 10/13 with a due date of 11/4 (not 11/3 because Newt closes for Election Day)
  • Item was returned by the patron at noon on 11/4 and it was marked “returned” in the NHAIS ILL System
  • The item went into quarantine for 72 hours so could be sent on the van after noon on Saturday, 11/7 (the library is closed but the quarantine time expires then)
  • NHSL van picked up the item at Newt on Monday, 11/9
  •  NHSL van returned the item to Lilac on Tuesday, 11/10 and it was checked in through the NHAIS ILL System moving it into “complete” status.  


Example Transaction #2

  • 9/16 - Birch got a request from Lilac on Wednesday and marked it “shipped” at 4pm that day
  • The item went into quarantine for 72 hours so could be sent on the van after 4pm on Saturday, 9/19 (the library is closed but the quarantine time expires then)
  • NHSL van picked up the item at Birch on Tuesday, 9/22
  • NHSL van delivered the item to Lilac at 1pm on Tuesday, 9/29 and it was marked “received” in the NHAIS ILL System
  • The item went into quarantine for 72 hours so could be given to the patron after 1pm on Friday, 10/2
  • Patron was notified that their item was available on 10/5 and checked it out on 10/8 with a due date of 10/29
  • Item was returned by the patron at 4pm on 10/29 and it was marked “returned” in the NHAIS ILL System
  • The item went into quarantine for 72 hours so could be sent on the van after 4pm on Sunday, 11/1 (the library is closed but the Quarantine time expires then)
  • NHSL van picked up the item at Lilac on Tuesday, 11/10
  • NHSL van returned the item to Birch on Thursday, 11/12 and it was checked in through the NHAIS ILL System moving it into “complete” status. 

Example Transaction #3

  •  9/17 - Chinook got a request from Newt on Thursday and marked it “shipped” at 10am that day
  • The item went into quarantine for 72 hours so could be sent on the van after 10am on Sunday, 9/20 (the library is closed but the quarantine time expires then)
  • NHSL van picked up the item at Chinook on Thursday, 9/24
  • NHSL van delivered the item to NHSL (for transfer) on Friday, 9/25
  • NHSL van delivered the item to Newt at 2pm on Monday, 9/28 and it was marked “received” in the NHAIS ILL System
  • The item went into quarantine for 72 hours so could be given to the patron after 2pm on Thursday, 10/1
  • Patron was notified that their item was available on 10/2 and checked it out on 10/8 with a due date of 10/29
  • Item was returned by the patron at 3pm on 10/30 (1 day overdue) and it was marked “returned” in the NHAIS ILL System
  • The item went into quarantine for 72 hours so could be sent on the van after 3pm on Monday, 11/2
  • NHSL van picked up the item at Newt on Monday, 11/9
  • Item was picked up from NHSL (for transfer) on Friday, 11/13 (it snowed on Wednesday so there was no NC van that day to do the pickup)
  • NHSL van returned the item to Chinook on Thursday, 11/19 and it was checked in through the NHAIS ILL System moving it into “complete” status. [This post edited 1/17/24 to remove an obsolete links.]
